Job Role: The Logistics Coordinator works closely with engineering, project management, manufacturing, and construction leadership to manage procurement processes and coordinate logistics. This role is critical for maintaining project timelines and supporting field operations with all necessary materials and equipment.
Key Duties:
Logistics & Transportation
- Coordinate and schedule outbound trucking for finished products, equipment, materials, and project shipments.
- Obtain and compare freight rates and coordinate transportation with trucking companies and freight providers.
- Schedule inbound freight when needed, including coordinating deliveries through Innovative's internal and external transportation resources.
- Coordinate delivery appointments with suppliers shipping large or oversized loads to Innovative.
- Ensure the Shop and other appropriate departments have visibility into incoming and outgoing shipment schedules.
- Communicate shipment details, delivery times, carrier information, and changes to internal stakeholders.
- Coordinate with suppliers, carriers, drivers, and internal departments to resolve scheduling or delivery issues.
- Track shipments and follow up on delayed, missed, or rescheduled deliveries.
- Maintain accurate shipping and transportation records, documentation, and carrier information.
- Assist with Bills of Lading, delivery documentation, freight paperwork, and other shipping-related records as needed.
- Coordinate special or oversized shipments and communicate any unique delivery requirements.
- Work closely with manufacturing and project teams to ensure transportation is aligned with production and project schedules.
- Help identify opportunities to improve freight coordination, delivery timing, and transportation costs.
Shop & Overhead Purchasing
- Purchase and coordinate the procurement of supplies, tools, equipment, and consumables required to support Innovative's shop, facility, maintenance, and repair activities.
- Obtain pricing and availability from vendors and place purchase orders as needed.
- Coordinate with vendors regarding order status, backorders, substitutions, and delivery dates.
- Maintain purchasing records and ensure items are delivered to the appropriate location.
- Assist with vendor returns, credits, discrepancies, and invoice issues when necessary.
Cross-Functional Coordination
- Serve as a key communication point between the Shop, Purchasing, Manufacturing, Project Management, suppliers, and transportation providers.
- Communicate proactively when shipment schedules, delivery appointments, or purchasing needs change.
- Maintain strong working relationships with freight companies, suppliers, vendors, and internal stakeholders.
- Prioritize competing logistics needs based on business requirements.
- Perform other duties and special projects as assigned.
Requirements:
- High school diploma or equivalent required; Associate's degree in Business, Supply Chain, Logistics, or a related field preferred.
- 2+ years of experience in logistics, shipping, purchasing, procurement, manufacturing support, or a related field preferred.
- Experience coordinating freight, trucking, shipping, receiving, or supplier deliveries preferred.
- Manufacturing, construction, industrial, or mechanical industry experience is a plus.
- Experience working with ERP systems, purchasing systems, or shipping software preferred.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to coordinate multiple shipments, vendors, and priorities simultaneously.
- Strong problem-solving and follow-through skills.
- Ability to work independently while communicating effectively with multiple departments.
- Comfortable working in a fast-paced manufacturing environment.
- Proficiency with Microsoft Office, particularly Outlook and Excel.
- Ability to learn and effectively use company-specific ERP and purchasing systems.
